This policy explains what personal data 3A Dental Clinic collects, why we collect it, who we share it with, how long we keep it and how you can exercise your rights. It is written to meet India’s Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025.
Who we are
3A Dental Clinic is a family dental practice run by Dr. Ashok R. Parekh, Dr. Anuja A. Parekh and Dr. Amaey A. Parekh at Earth Darshan, Corner of 8th Lane, 203, Nanubhai Desai Rd, next to Hanuman Temple, Sicka Nagar, Khetwadi, Girgaon, Mumbai, Maharashtra 400004. For the purposes of the law, the clinic is the Data Fiduciary for the personal data described here.
The personal data we collect
- Contact details: your name, mobile number, email address and, if you share it, your city or country.
- Appointment details: the reason for your visit, preferred times and messages you send us.
- Health information: your medical and dental history, medicines, allergies, examination findings, X-rays, scans, intraoral photographs, treatment plans, consent forms and treatment notes.
- Billing details: consultation and treatment fees, payments and receipts. We do not store card numbers on this website.
- Website data: pages visited, device and browser type, approximate location and similar information collected through cookies and analytics tools, described below.
How we collect it
- When you fill in the booking form on this website.
- When you message us on WhatsApp, call us or email us.
- When you visit the clinic and during your treatment.
- Automatically, when you browse this website.

We use your data only for the purpose you gave it for, or for a purpose the law allows. We do not sell personal data.
Consent
When you send us an enquiry, book an appointment or start treatment, you consent to us using your data for the purposes above. Clinical photographs and X-rays are used on our website or social media only with your separate written consent, and never with your name unless you ask for it.
You can withdraw consent at any time by writing to us at the contact details below. Withdrawing consent does not affect anything done before you withdrew it, and we may still keep records that the law requires us to keep.
Children
For patients under 18, we collect and use personal data with the consent of a parent or lawful guardian, who also exercises the rights in this policy on the child’s behalf. We do not use children’s data for advertising or behavioural tracking.
Who we share it with
We share personal data only where needed, and with the following kinds of service providers, who process it on our instructions:
- Clinic software: our practice management software, used to keep appointments and patient records.
- Messaging: WhatsApp, and the WhatsApp business platform we use to manage messages.
- Website and email: our website host, our website form and security tools, and our email provider.
- Analytics and advertising: Google Analytics, Google Ads and Meta (Facebook and Instagram) measure visits to this website and help us show our own advertisements. They receive website data, never your health records.
- Dental laboratories and imaging centres: when your treatment needs crowns, aligners, dentures or scans, we share the clinical information they need to make them.
- Visiting specialists: consultant endodontists and oral surgeons who treat you at the clinic.
- Authorities: where the law requires it, for example a court order or a request from a regulator.
Some of these providers store data on servers outside India. Where that happens, the transfer is made as the Act allows.
Cookies and analytics
This website uses cookies and similar tools to keep the site working, to count visits through Google Analytics, and to measure our advertising through Google Ads and the Meta Pixel. You can block or delete cookies in your browser settings. The site will still work, though some measurement will stop.
How long we keep it
- Patient records, including X-rays and treatment notes, are kept for as long as Indian law and professional guidance require, so that your treatment history is available to you and to the doctors who treat you.
- Enquiries that do not lead to an appointment are deleted within 12 months.
- Website analytics data is kept for the periods set in Google Analytics and our advertising accounts, up to 14 months.
When data is no longer needed and no law requires us to keep it, we delete it. If we are deleting data because it has not been used for a long time, we will tell you at least 48 hours before we do.
How we protect it
Records are kept on password protected systems that only clinic staff can open. Paper records are kept in locked storage. The website uses an encrypted connection (HTTPS). If a breach of your personal data ever happens, we will tell you and the Data Protection Board of India without delay, as the Rules require.
Your rights
You have the right to:
- ask what personal data we hold about you and how we use it;
- ask us to correct, complete or update it;
- ask us to erase it, unless the law requires us to keep it;
- withdraw your consent;
- nominate another person to exercise these rights for you if you are unable to;
- raise a grievance with us, and if you are not satisfied, complain to the Data Protection Board of India.
To exercise any of these rights, contact us using the details below with your name and the mobile number you gave us, so we can confirm it is you. We reply within 30 days, and always within the 90 days the Rules allow.
